Customer onboarding collection notice

What JFM collects

JFM Communications collects the business, contact, service and billing-document information you provide during onboarding. We also keep an audit record of important onboarding actions. We do not ask you to upload identity documents through this portal.

Why it is collected

We use the information to assess your requirements, prepare quotes and service documents, identify existing phone services, perform required identity and authority checks, prevent fraud, and—only after separate approval—set up or port services.

Who may receive it

Information may be shared where necessary with JFM staff and contractors, telecommunications carriers or wholesalers, number-porting participants, billing and identity-verification providers, and regulators or law-enforcement bodies where required by law.

If you expressly select OpenAI bill reading, the uploaded bill is sent to OpenAI's API to extract suggested account and service details. OpenAI states that API data is not used to train its models unless the API customer opts in. Depending on JFM's OpenAI data-control settings, content may be retained in abuse-monitoring logs for up to 30 days. You can leave this option unticked and enter services manually.

Storage and deletion

Bills are stored outside the public website and scheduled for deletion after 90 days unless JFM must retain them longer for an active order, dispute, fraud review, or legal obligation. Account and audit information is retained only as long as reasonably needed for onboarding, telecommunications compliance, security and record-keeping.

Access, correction and questions

You can correct a draft application in the portal. For access, correction, privacy questions or a request to withdraw an unprocessed application, contact support@jfmcommunications.com.au. Withdrawing does not affect records JFM is legally required to keep.

No automatic service change. Providing information or uploading a bill does not authorise JFM to disconnect, activate, or port a telecommunications service.
